Who We Are
Efile4Biz.com is a website where you can easily and quickly file tax information forms with the IRS and/or SSA. We offer the most cost effective way of submitting your information return forms including 1098, 1099, W-2, 1042-S and ACA forms. You enter your data online and we e-file with the IRS and/or SSA and mail copies to recipients. Efile4Biz is an approved IRS E-File for Business Provider for information returns.
Our end-to-end online solution eliminates the need to print and mail printed forms, along with the general confusion associated with filing paper returns with the IRS or SSA. There's no software to download and no forms to purchase. Simply register with us and begin entering your tax form information; we’ll take care of the rest.
Even with the best software packages, you still do most of the work. Instead, upload your data and let us process, print, mail, and file for you. You can access your data from anywhere. There are no forms to buy and stock. Free up your time to promote your business and leave the technical stuff, like filing, to us.
What We Do
Just by signing up and uploading your data, we'll store your forms and recordkeeping on our secure servers. You'll be able to review and print previous year forms as well as maintain your payer and recipient records to easily populate future forms with their information.
We offer three options at checkout at different price points. When you checkout, you can select the option that best fits your needs:
|E-File, Print & Mail||E-File Only||Print & Mail Only|
|Electronically send information to the IRS and/or SSA||X||X|
|Send forms (first-class mail or e-delivery) to the Recipient||X||X|
|Printable PDFs of forms for state/local filings or for your records||X||X||X|
|Storage of Payer and Recipient data for 4 years||X||X||X|
|Account Owner notified via email when form accepted by IRS and/or SSA||X||X|
|Account Owner notified via email when Recipient copies mailed||X||X|
We understand your data is your livelihood and, as such, we use the best-in-class encryption standards as recommended by the IRS as well as best practice security controls to ensure secure transport and storage of your data. We also employ third-party auditing to certify that we remain compliant with the stringent Service Organization Control (SOC) data management standards of the American Institute of CPAs. Additionally, we perform annual third-party penetration tests, quarterly and annual Payment Card (PCI) audits as well as weekly vulnerability scans to proactively detect and mitigate any new threats/vulnerabilities that may be discovered. The moment you sign up or log in to our website, your data remains secure.
For an additional level of protection on your account, enable Multi-Factor Authentication (MFA). MFA is an electronic verification method where a user is granted access to an application via something they know (password) and something they have (unique login code). Click for details on MFA and how to set it up for efile4biz.
1099, W-2 and ACA Filing Deadlines to IRS and SSA
You can submit your forms as soon as we release the current year's forms, typically in November or early December. To get a head start on the process, you can create an account and set up payers and recipients any time. Once the new forms are released, you do not have to wait until January to submit your forms, as long as the contractor or employee has completed all work for the calendar year and you have all the required information at hand. However, the IRS/SSA doesn’t start accepting forms until mid to late January. Until the IRS/SSA start accepting forms, your Filed Forms page will show Pending in the columns labeled Filed On, File Accepted, and Delivery Status.
|Tax Forms||Recipient Deadline||Paper Filing Deadline||E-file Deadline|
(No Data in Boxes 8 or 10)
(With Data in Boxes 8 or 10)
|1099-C, 1099-DIV, 1099-INT,
1099-R, 1098, 1098-T
1095-C, 1095-B, 1094-C
We offer three filing options, based on your needs. Should you want us to print, mail, and e-file your forms, the price per form ranges from $1.50 to $17.95, depending on the number and type of forms you check out. We also offer an e-file without recipient delivery option and a print and mail option that does not include filing with the IRS or SSA. For more details, review our pricing table.
In addition, your payer and recipient data is saved year over year to make future filings even easier.
Username or Password Problems
To reset your password, click the Forgot Password link on the log in screen and we’ll send you an email with a link to reset your password. Your email address is used as a username; if you have forgotten that, you can contact customer support.
What is TIN Matching?
It is important that the information provided on information tax returns is correct. TIN Matching is the process of checking the TIN (Taxpayer Identification Number) furnished by the payee/recipient against the name/TIN (Taxpayer Identification Number) combination contained in the IRS database.
Please note that if you are trying to beat the IRS/SSA deadline and it is within two business days of the deadline, we recommend that you select the payers and recipients you want to have TIN matched AND check out your forms simultaneously. You will be notified of any mismatches after the IRS/SSA deadline. You will then need to enter a correction and submit the corrected form. While this will incur a correction fee, you will avoid a possible penalty from missing the IRS/SSA deadline.
If you have the Plus Subscription plan, TIN matching is included automatically with your program. Each payer and recipient added to your account will be added to the TIN Matching request list. The results should be displayed within the payer or recipient profile within two business days. With the Plus Subscription, please allow at least two business days for TIN Matching to complete before checking out your forms.
Filing Multiple Clients
You can set up an unlimited number of payers and recipients under a single account. When filing a form, simply select the payer and recipient from the drop-down boxes on the form. All contact information will be filled in automatically.
1096 or W-3 Forms
As part of our e-file process, we compile the summary data required on Form 1096 or W-3 and transmit it along with your forms. You don’t have to prepare anything for these two forms.
ACA 1094-B/C Forms
If filing ACA Form 1095-B, you do not need to file Form 1094-B. As part of our e-file process, we compile the summary data required on Form 1094-B and transmit it along with your 1095-B forms.
If filing ACA Form 1095-C, you MUST file form 1094-C. Efile4Biz does not automatically compile the summary data required on this form.
When Does the IRS/SSA Receive the Forms? (This is applicable to those forms where "E-File, Print & Mail" or "E-File Only" were selected.)
We start e-filing with the IRS/SSA as soon as the IRS opens the FIRE (File Information Returns Electronically) site, which occurs in mid to late January. This is the earliest the IRS will accept electronic files. We will file each business day (multiple times per day during busy days) through March 31, 2022. After March 31, 2022, we will process orders within one business day through April 29, 2022. Starting May 2, 2022 we will process orders twice weekly, every Tuesday and Thursday morning through 11/02/2022. If you order later in the day on Tuesday or Thursday, your forms will be e-filed the following Tuesday or Thursday.
When Will the Recipients Receive Their Forms? (This is applicable to those forms where "E-file, Print & Mail" or "Print & Mail Only" were selected.)
Recipient copies are mailed via USPS First-Class mail within 1 to 2 days of receiving your order (after the IRS has started accepting electronic files in mid-January). The USPS typically delivers First-Class mail within 7-10 days. Although most recipient copies should be delivered within 7-10 days of the order date, we cannot guarantee postal delivery times as this is fully dependent upon the USPS. In the meantime, you can print your completed forms any time by logging in and clicking on the "Filed Forms" tab.
Do I Need to Provide Forms to the Recipients?
Our all-inclusive service of E-File, Print & Mail or Print & Mail Only service includes printing and delivery via first-class mail. We also offer e-delivery, which lets recipients access their forms instantly online instead of waiting for mailed copies. Simply provide the recipient's email address and we will notify the recipient of this option. However, if you select E-File Only, you will need to send copies to the recipients.
Getting Copies of the Forms
Once your forms are submitted with payment, you can print or save your copies in PDF format; however, these printed forms are not approved for IRS submission but are fine for your recipients and for your records. Simply log in to efile4Biz, on the navigation bar on the left, hover over Filings and then click on Filed which will direct you to your Filed Forms page. Select the form you want to print.
Once you submit your file, you can edit 1099s and W-2s prior to the forms being submitted to the IRS and/or SSA. If you discover an error before we have e-filed the form with the IRS and/or SSA, you can edit the form for a nominal fee of $1.95. Just pull up the form, make the change and resubmit it. Note: ACA forms (1094-C, 1095-B and 1095-C) cannot be edited once submitted.
Correction Types We Support
If you discover the error after we have e-filed the form with the IRS, you can file a 1099 Correction if the form was a 1099-NEC, 1099-MISC, 1099-INT, 1099-DIV, 1099-S, 1099-R, or 1098, and the error was a "Type 1" (dollar amount) error. If we have e-filed the form with the SSA, you can also correct W-2 dollar amount errors with the W-2C form on our site. You do not need to have e-filed on our site in order to use our site to make corrections to 1099 and W-2 forms.
For ACA forms you can file a correction for names and TINs only. To correct ACA errors, your original file must have been originally filed on the site.
Corrections After Mailing
You cannot change any information entered into a form once you have checked out and paid for our service until after the IRS has accepted the form. Once the IRS/SSA has accepted the form, you can make Type 1 (dollar amount) corrections for 1099 and W-2 forms.
If you submit a correction, remember to select e-file and delivery if you want a corrected copy mailed to the recipient.
Combined Federal/State Filing Program
The Combined Federal/State Filing Program (CF/SF) simplifies 1099 (1099-NEC, 1099-MISC, 1099-B, 1099-DIV, 1099-INT and 1099-R) information returns. Through this program, the IRS electronically forwards information returns to participating states. In many cases, there may be nothing else you need to do but the CF/SF program may not completely meet the requirements of the state. Please verify the requirements directly with the Department of Revenue for the state in question.
Direct-to-State Filing Supported States
Direct-to-State filing allows customers to file their 1099-NEC, 1099-MISC and W-2 forms with individual states. We currently support Direct-to-State filings for the following forms in certain states:
|District of Columbia||✓||✓||✓|
Direct-to-State Pricing Info
We offer this service as an add-on charge of $1.00 per form, regardless of the number of states being filed in one form. Example: if you file a W-2 that has 3 states populated, your Direct-to-State add-on charge for that form is $1.00. If you file only 1 state on that form, your charge is still $1.00 in addition to the filing fee per form.
City and Local Filing
We automatically file form types 1099-B, 1099-DIV, 1099-INT, 1099-MISC, 1099-NEC and 1099-R in the IRS' Combined Federal/State Filing Program, which makes the form data available to the states that participate in the program. We do not e-file or mail city or local copies for you. To comply with non-participating states, or city and local requirements, you may need to print a copy of your forms and mail them to these agencies.
Not all states participate in this program, including tax-free states such as Nevada, Florida, Washington and Wyoming. Some states that participate in the CF/SF still require forms to be sent directly to the state. If you have questions regarding state filings, we suggest that you talk with your accountant or attorney for clarification.
However, if you haven't checked out with your forms yet, you can still go back and edit your state data. Once you have checked out those forms, you can only edit state data if we haven't filed your forms with the state yet. Please refer to the 'Filed on' date on your Filed Forms page.
Some states require additional forms to be filed, such as the Form OR-WR with the State of Oregon. Some states that participate in the CF/SF still require forms to be sent directly to the state. To remain in compliance with your state's regulations, those types of forms need to be filed separately.
